The primary responsibility to plan and execute projects associated with energy efficiency and sustainability. The Project Coordinator will assist all aspects of the projects from beginning to end with responsibility for technical and operational support of the process. You will be assisting management by acquiring resource sand coordinating efforts of the team to deliver projects according to plan. Experience in the lighting industry or energy efficiency industry REQUIRED.

Duties include:

  • Ability to do take-offs of plans, drawings, and other various media
  • Coordinate with customers and contractors to keep them informed of progress
  • Negotiate and coordinate labor and contractors
  • Perform budgeting and forecasting
  • Assist with auditing and quoting
  • Ongoing project coordination and reporting
  • Filing and managing utility rebates for lighting improvements
  • Provide necessary planning, organization and coordination to assist site management team to maximize their production efficiencies and profitability
  • Submit documentation in accordance with customer and contract requirements
  • Responsible for resolving any problems or questions which may arise during a project concerning scope of work, specification, drawings and/or contract requirements
  • Submit requisitions for the correct quantities and type of materials and equipment required on the site
  • Monitor job progress and update project schedules
  • Track and properly record job costs
  • Responsible for necessary safety / QA / QC / and other submittals to the customer
  • Establish BOM and project worksheets for the project
  • Identify and estimate potential Change Orders

Experience:

  • Experience in the lighting industry or energy efficiency industryREQUIRED.
  • College degree required with 2-3 years of experience in a project management or operations management role
  • Experience with lighting (interior and exterior) retrofit projects
  • Inside sales lighting experience a plus
  • Proven track record of success in a project management role
  • Excellent written and verbal communication skills
  • High sense of urgency and expert level organizational skills required
  • Proficiency with Microsoft Office Suite is required
  • Ability to manage conflict and provide resolution
  • Excellent business analysis capabilities
  • Proven time management skills
  • Excellent oral and written communication skills

The Project Administrator is responsible for project support activities for the implementation of energy retrofit and capital replacement projects. The Project Administrator will be in charge of project setup, document control, rebate administration, purchase order administration, billing, and administrative closeout of each project. This position is required to closely interact with the Program Manager, Project Manager, and assigned project staff to assist with the timely completion of each project.

Duties include:

Creates and maintains computer files in support of the project team to include:

  • Project Development Tracker (Excel Spreadsheet)
  • Project Construction Tracker (Excel Spreadsheet)
  • PO Tracker (Excel Spreadsheet)
  • Material Spend Report (Excel Spreadsheet)
  • Projects Issue Log

Responsible for project document control to include:

  • Master Business Partner Agreements
  • Non-Disclosure Agreements
  • Certificate of Insurance
  • Safety documents
  • Contractor W9’s

Prepares and processes rebate applications to include:

  • Gathering utility account information
  • Collecting customers’ W9 for rebate applications
  • Gathering customer signatures for rebate applications
  • Compiling internal scope of work for rebate applications
  • Working with third party rebate companies for help in application process
  • Coordinating with customer for Pre/Post utility inspections

Prepares and processes purchase orders and document control to include:

  • Development resources
  • Subcontractor resources
  • Material orders
  • Recycle resources

Prepares and processes invoicing to include:

  • Job cost tracking / forecasting / reporting to assist accounting
  • Customer invoice preparation
  • Customer invoice change orders
  • Contractor invoice tracking
  • Contractor change orders tracking

Administrative project closeout to include:

  • Certificate of completion documents
  • Warranty information
  • Lamp recycling certificates

Other duties as assigned

Position Qualifications:

  • Minimum of 3 to 5 years project administrative experience
  • Project administration experience in a lighting, HVAC, rebate, and/or energy efficiency company a plus.
  • Excellent verbal and written communication skills required. Must be able to interact and communicate with individuals at all levels of the organization.
  • Must be very proficient with a variety of computer software applications including MSWord, Excel, PowerPoint, and Adobe.
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.

  • Competitive salary ($60-$75k)  + bonus
